Open course booking, cancellation and refund policy

This policy applies to individual places bought online for ProActive Healthcare open courses, including PMVA Foundation and PMVA Refresher. It forms part of the contract between you and Proactive Approaches Training Limited, trading as ProActive Healthcare, company number 15781500, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ ("we", "us"). Training arranged for organisations is covered by our terms and conditions.
1. Booking and payment
1.1
Places are sold to individuals and must be paid in full by card at the time of booking. We do not hold places without payment, and we do not offer invoices or pay-later options for open-course places.
1.2
Prices are shown excluding VAT. VAT at the current rate (20%) is added at checkout, and the total you pay is shown before you confirm.
1.3
Your place is confirmed only when payment has been completed. You will receive a confirmation email with your booking reference and a VAT receipt.
1.4
Your place is held for 30 minutes while you pay. If payment is not completed in that time, the place is released and becomes available to others.
2. Your legal right to cancel (14-day cooling-off period)
2.1
Because you are booking online, you have a legal right to cancel your booking within 14 days of the day you made it, without giving a reason, under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
2.2
If you cancel within those 14 days and before the course starts, we will refund the full amount you paid, including VAT, within 14 days of receiving your cancellation.
2.3
If you book a course that starts within 14 days of your booking, you are asking us to provide the course before the cooling-off period ends. You can still cancel before the course starts and receive a full refund. Once the course has started, the right to cancel no longer applies.
2.4
To cancel, email support@proactiveapproaches.co.uk with your name and booking reference. Your cancellation takes effect on the date we receive your email.
3. After the cooling-off period: book it or lose it
3.1
After the 14-day cooling-off period has ended, bookings are non-refundable and cannot be transferred to another date.
3.2
If you do not attend, arrive too late to take part, or leave the course early, no refund will be given.
3.3
You may pass your place to another person, provided you email support@proactiveapproaches.co.uk with their name and email address at least 2 working days before the course starts.
4. If we cancel or change a course
4.1
We may need to cancel or reschedule a course, for example if the trainer is unavailable or minimum numbers are not reached. If this happens we will tell you as soon as possible and offer you the choice of:
- a full refund of the amount you paid, including VAT; or
- a free transfer to another available date.
4.2
If we change the venue within the same city, we will tell you in advance. If the new venue is not suitable for you, you may request a full refund.
4.3
We are not responsible for travel, accommodation or other costs you incur in connection with a course, except where the law requires otherwise.
5. Attendance and certification
5.1
BILD ACT certification requires full attendance and successful completion of all practical and assessed elements. If you do not complete the course, a certificate cannot be issued and no refund will be given.
5.2
Please tell us before booking, or as soon as possible afterwards, about any health condition or access requirement relevant to the physical elements of the course, so we can make reasonable adjustments.
6. Your statutory rights
6.1
Nothing in this policy affects your statutory rights, including your rights under the Consumer Rights Act 2015 if a course is not delivered with reasonable care and skill.
